Namecard printing requests halted

As of 02 Oct 2023, namecard requests are halted because it is expected that a name change for SUSS’ Chinese characters on 1 Jan 2024.

Ordering of namecards

To request for ordering of namecards, please send an email to jychew@suss.edu.sg (cc. sscoffice@suss.edu.sg) indicating the information required from below:

New staff

All new staff should follow the section on Namecards in the Onboarding Guide, or else no namecard will be ordered. 

The SSC staff in-charge will verify the information in the Word document with the updated name list maintained by Joey Chua’s marketing taskforce spreadsheet and on the shared drive (Z:\1. SSC Office\8. Staff Management\1. Admin Matters\Namelist & Seating Plan\Name List).

Key information to be checked include:

  1. Cost center (usually refers to the office the headcount the staff budgeted under or expenses for staff is budgeted under)
  2. Office and department and their names
  3. Approved title in Chinese and in English

Thereafter, the SSC staff will save the namecard order word document file in the shared drive for future reference/use (Z:\1. SSC Office\7. SSC SOP\1. SOP for SSC Office\Staff Action Plans\Jian Yue\UC (all) General\Namecards).

Existing staff

All existing staff who have completed the “New staff” portion before - we would have a record of the business card order file. 

If there is a change in title or any other information, kindly inform us.

Optional items for including in the namecard

Staff may want to include other details such as:

  1. Their photo - please send a jpeg copy of your photo when requesting
  2. Mobile number - please include your full mobile number including the country code for namecard order

Custom namecards

Provide the specifications or design to Cat from printex@printex.com.sg.

Order by batch

To manage SSC workload, we will order namecards by batch for each cost centre. Non-urgent namecard orders will only be processed at the start of each month, not accounting for the vendor lead time.

The default order size for each namecards order request is two boxes. You can order more or less boxes, please include this information. 

The namecard artwork will be created by the vendor for viewing and final confirmation before printing begins (an email will be sent to them). Staff are to review the design and ensure that all information is correct, and reply to the email sent to them promptly, else there may be delays.

Use of e-namecards

Since e-namecards are being rolled out by SUSS as part of sustainability and green initiatives, all staff are encouraged to generate their e-namecards and use them.

Please note that e-namecards are only for SUSS staff with staff IDs. For example, they are not available to fellows.

Raising purchase requisitions

Invoice and the delivery order will be received from the vendor after the delivery of the namecards. We are to raise an internal purchase requisition (internal PR) and notify Wendy from Accounts Payable to trigger payment for our purchase. See Raising internal purchase requisitions.

The expenses of namecards are charged to COA 520060, with the material number K40650.

The fund code is determined by whether the staff is funded by external sources or not. For example, some staff in the entrepreneurship office (UC1011) are funded by MOE, hence the fund code differs for staff in the office. The usual fund code is SUSSFUND1. The cost center depends on which office the staff belongs to.

The period contract (supplier) is currently to PRINTEX OFFSET PRINTING CO (1000002112).
